Introduction
This Privacy Policy explains how K.V.Finn Design processes personal data of website visitors, potential clients and people who contact us through the contact form, direct e-mail, project inquiries or newsletter sign-up forms.
The purpose of this document is to provide clear information about what data we collect, why we process it, how long we keep it, who may receive it and what rights you have in relation to your personal data.

Personal data we may process
name and surname, company or brand name, e-mail address, phone number and the content of a message you send through a contact form or direct e-mail;
information required to prepare an offer, discuss a project and maintain business communication;
e-mail address and, where applicable, name if you subscribe to a newsletter or mailing list;
technical data such as IP address, browser information, device information, access time and server/security logs;
website usage data if we use analytics tools such as Google Analytics, Matomo or similar tools;
information you voluntarily provide through briefs, questionnaires, comments, surveys or other forms on the website.
Purposes and legal bases
We process personal data only where an appropriate legal basis exists. The most common purposes are:
- responding to inquiries and communicating with potential clients – processing is necessary in order to take steps at the request of the data subject before entering into a contract;
preparing offers, arranging projects and providing design services – processing is necessary for entering into or performing a contract;
business records, invoicing and administration – processing is necessary for compliance with legal obligations;
sending newsletters, offers and occasional updates – processing is based on your consent, which you may withdraw at any time;
website security, abuse prevention and technical maintenance – processing is based on the legitimate interest of maintaining a safe and functional website;
traffic analysis and user experience improvements – non-essential analytics cookies are used on the basis of consent, unless fully anonymised statistics that do not identify users are used.
Contact form and e-mail communication
When you send an inquiry through a contact form or by e-mail, we use the information you provide only to answer your inquiry, prepare an offer, discuss cooperation or continue business communication.
Information submitted through an inquiry will not be added to a newsletter list without your separate and clear consent.
Newsletter and mailing list
If you subscribe to a newsletter or mailing list, we will use your e-mail address and, where applicable, your name to send occasional updates, useful content, news, offers and information about K.V.Finn Design services.
Subscription must be voluntary and clearly separate from other actions. Every newsletter should include an unsubscribe option. After you unsubscribe, we stop using your e-mail address for newsletter purposes, unless another legal basis exists for retaining limited data, such as proof of consent or business records.
Newsletter tool: Brevo. If the tool is located outside the EU/EEA, the relevant transfer basis should be stated, such as standard contractual clauses.
Cookies, analytics and similar technologies
The website may use strictly necessary, functional, analytics and marketing cookies. Details are described in the separate Cookie Policy.
Non-essential cookies, such as marketing cookies and most analytics cookies, are set only after your consent through a cookie banner or consent management tool.
Recipients and service providers
We may share data with trusted service providers who enable the website and business operations, such as:

newsletter and mailing list tools;

Retention periods
We keep personal data only for as long as necessary for the purpose for which it was collected, unless a longer retention period is required by law.
contact inquiries: normally up to 12-24 months after the last communication, unless cooperation begins or another reason for retention exists;
project and contract documentation: for the duration of the project and as long as required for business, tax or legal records;
newsletter data: until you unsubscribe or withdraw consent;
server/security logs: for a limited period necessary for security and maintenance;
accounting records: according to applicable Croatian accounting and tax obligations.
Your rights
Under applicable data protection law, you may have the right to request access to your personal data, correction, deletion, restriction of processing, data portability, withdrawal of consent and objection to certain processing based on legitimate interests.

Security
We take reasonable technical and organisational measures to protect personal data from unauthorised access, loss, misuse or disclosure. No website or online transmission is completely secure, but we aim to use appropriate safeguards for a small business/portfolio website.
Changes to this Privacy Policy
We may update this Privacy Policy from time to time, for example when the website, tools or legal requirements change. The latest version published on the website applies from the date shown at the top of the document.
